VanSmile Dental Hygiene Inc. Terms and Conditions

Effective Date: February 1, 2024


1. Acceptance of Terms

By booking an appointment or using the services of VanSmile Dental Hygiene, you agree to the following Terms and Conditions. Please read them carefully before using our services.


2. Mobile Service Area

Our mobile dental hygiene services are available within specific regions. We reserve the right to confirm whether your location is within our service area when booking an appointment. If your location is outside of our designated area, additional fees may apply, or we may not be able to accommodate the service.


3. Appointment Booking and Confirmation

All appointments must be scheduled in advance, and a booking is only confirmed once you receive a confirmation email or message from us. Travel fee apply and will be included in the total service charge unless otherwise waived under specific promotions or offers.


4. Travel Fee

A travel fee is charged to cover transportation costs associated with bringing our services to your location.  This includes expenses such as fuel, vehicle maintenance, and the time spent traveling.   This fee is payable at the time of booking and may be waived under certain conditions, such as group or family bookings, or with promotional codes. If waived, specific terms will apply, as stated in the promotion or upon inquiry.


5. Cancellation and Rescheduling

  • Cancellations must be made at least 24 hours before the scheduled appointment to receive a refund of the travel fee, if applicable. Cancellations made less than 24 hours prior may result in the forfeiture of any travel fees paid.
  • Rescheduling requests must also be made at least 24 hours in advance. We will accommodate your request based on availability.
  • For no-shows or late cancellations, travel fee will not be refunded.


6. Payment Terms

  • Full payment for services, including any applicable travel fee, is due at the time of the appointment unless otherwise specified.
  • We accept various payment methods, including credit/debit cards, cash, e-transfer or wechat/alipay
  • Dental insurance is accepted, If insurance claims are denied, the patient is responsible for the full cost of services rendered.


7. Health and Safety

  • Prior to treatment, we will conduct a health assessment to ensure that services can be safely provided. It is your responsibility to provide accurate and complete medical history information.
  • If you are unwell, we reserve the right to reschedule the appointment for your safety and that of our staff. No cancellation fee will apply in such cases.


8. Liability and Limitation of Liability

While we take every precaution to provide safe and effective dental hygiene services, VanSmile Dental Hygiene Inc. is not liable for any adverse reactions, complications, or injury resulting from pre-existing health conditions or incomplete disclosure of medical information.


9. Patient Responsibilities

  • You agree to provide a clean and safe environment for our dental hygienist to perform the service.
  • Access to parking and space to accommodate our mobile clinic is required. Please ensure there is appropriate parking for our vehicle (details on size and requirements will be provided upon booking).
  • You agree to follow all post-care instructions provided after your appointment to ensure the best results and maintain oral health.


10. Privacy

Your personal and medical information is protected under the Personal Information Protection Act (PIPA) of British Columbia. We will not share your information with third parties without your explicit consent, except as required by law.

11. Changes to Terms and Conditions

We reserve the right to modify these Terms and Conditions at any time. Any changes will be communicated to you, and continued use of our services after such changes will constitute acceptance of the updated Terms.
